Customer asking for "paperwork" for items picked up for free

I picked up a pallet of some random computer stuff today from a pretty large steel company. They guy was really nice and gave me everything for free, but asked for "paperwork" stating that I took the items for his records. He is mainly concerned about the IRS asking to prove where his fixed assets went.

He said everything had been inventoried and that I did not need to list the items. Would a simple "acknowledgement of goods received" work in this case? There are plenty of free forms on the web for this, but I wondered what you guys do in this situation?

I would give him a receipt for "one pallet load of computer scrap items".

I used Microsoft Publisher to create a "Certificate of Recycling". I simply took one of the templates that they have on there and redesigned it to fit my needs. You will likely run into this alot over the coming days that you are in this business. My certificate lists the date, the company, the description and a count for each item. I have a place for the customer to sign and for whoever is doing the pickup to sign as well. We print the certificates on 2 part carbonless paper ($15 on eBay for a ream) and give the yellow to the customer and keep the white copy for our records. Here in Indiana we are required to report the total of each kind of electronic that we recycle to the IDEM so we need the records. To kill two birds with one stone we also put our certificate of data destruction at the bottom of the same form. Most customers ask for that as well.

I would be careful about giving receipts for crts unless you have a lagitimate disposal source who will give you a reciept in turn.

I would do either what ComputerScrapper mentioned, or a simple bill of sale will suffice.

I use a simple little receipt anytime that I pick anything up. Whether I am paid for it or not.

They get a copy of the invoice (again whether they pay or the pickup is free), and a small receipt. The receipt book I use comes from Staples, but I am sure you can get them just about anywhere.
